Managing privacy and security of Client data

Significa Client Data: Significa securely stores all Client-related data, including contracts, signatures, and contact information, within its internal knowledge management system (e.g., Notion). Access to this data is strictly limited to personnel who require it for specific, authorised purposes. Significa does not use Client data for any purposes beyond those necessary to fulfil contractual obligations, such as invoicing and the delivery of agreed-upon services.

In the course of delivering services, Significa may utilise various tools for communication, messaging, and data storage. These tools may rely on third-party service providers; however, Client data is only used as required to support the agreed services. Significa remains committed to maintaining the confidentiality and security of Client data at all times.

In order to deliver its services, Significa relies on a number of third-party service providers (“Sub-Processors”). These tools are used to facilitate communication, messaging, and data storage. While Significa uses these Sub-Processors to support its operations, Client data is handled strictly in accordance with its intended purpose—limited to fulfilling contractual obligations and providing agreed-upon services. Significa ensures that all Sub-Processors adhere to industry-standard practices for data security and privacy. A list of the Sub-Processors used by Significa is provided below:

End Customer Data: End Customer data is processed and managed exclusively through the applications ("Products") developed by Significa for its Clients. In instances where these Products handle End Customer data, the responsibility for the management, control, and ownership of such data resides solely with the Client. Significa does not possess or claim ownership over End Customer data; its role is limited to developing and maintaining the tools necessary to support the storage and handling of this data on behalf of the Client.

At all times, the Client retains full authority and discretion over End Customer data, including the ability to revoke Significa’s access, as this data is hosted entirely on platforms, servers, or services owned or controlled by the Client (e.g., the Client's cloud provider). While Significa offers guidance and adheres to best practices to assist the Client in ensuring the security of End Customer data, ultimately Significa does not own these hosting environments.

We have physical, electronic, and managerial procedures to help safeguard, prevent unauthorised access, maintain data security, and correctly use your information. However, neither people nor security systems are foolproof, including encryption systems. In addition, people can commit intentional crimes, make mistakes or fail to follow policies. Therefore, while we use reasonable efforts to protect your personal information, we cannot guarantee its absolute security.
